Whether you’re switching computers, upgrading to a new version of Outlook, or just want to keep your data safe — backing up your emails is a smart move. In this guide, we’ll walk you through how to export (backup) your emails in Outlook and how to import them again later.
✅ This guide works for most versions of Outlook, including Outlook 2016, 2019, 2021, and Microsoft 365 (desktop app).
Step 1: Export (Backup) Your Outlook Emails
This will save your emails to a .pst file, which you can store safely on a USB drive, external hard drive, or cloud storage.
How to Export Emails to a PST File:
- Open Outlook on your computer.
- Click File in the top-left corner.
- Select Open & Export > Import/Export.
- Choose Export to a file and click Next.
- Select Outlook Data File (.pst) > Next.
- Choose the email account or folder you want to back up. Tip: Check Include subfolders to back up everything (Inbox, Sent Items, etc.).
- Click Next, then choose where to save the file. We recommend saving it somewhere safe, like a cloud drive or external storage.
- (Optional) Add a password for extra security, or click OK to skip.
- Done! Outlook will create your
.pstbackup file.
Step 2: Import Your Backup Back into Outlook
If you’re moving to a new PC or reinstalling Outlook, here’s how to bring your emails back.
How to Import a PST File:
- Open Outlook.
- Go to File > Open & Export > Import/Export.
- Select Import from another program or file > Click Next.
- Choose Outlook Data File (.pst) > Next.
- Click Browse and locate the
.pstfile you previously saved. - Choose how to handle duplicates (e.g., “Replace duplicates with items imported”).
- Click Next, then select the folder to import to (usually your main mailbox).
- Click Finish.
That’s it! Your emails, folders, and even calendar entries will now be restored.
Final Tips
- Schedule regular backups if you rely heavily on Outlook for work.
- Keep your
.pstfiles in a safe location, especially if they include sensitive information. - Test your backup by importing it into a different Outlook profile or PC before relying on it.
By following these steps, you’ll ensure that your important emails are safe and can be restored anytime. Backups might feel like a chore — until the day you need one!
